Job Overview*
The Administrative Assistant will support the Assistant Community Manager and the Facility Director as required to deliver Homeowner Association services for the Management Company. This position will be responsible for ensuring an organized and efficient office flow as well as offering excellent communication to homeowners, tenants, and affiliates. The person in this position must understand the importance of providing outstanding customer service and be able to interact effectively with owners. The Administrative Assistant must have detailed knowledge of governing documents (CCR's, Bylaws, Association Policies) and a general understanding of administrative work, accounts payable, and costumer service.
General Responsibilities
•Support Assistant Manager as directed.•Exhibit a professional attitude, diplomacy and an ability to handle difficult situations.•Demonstrate an exceptional level of professionalism.•Support Management of Fire Fuel Reduction (FFR) program implementation, including property inspections and owner notification, with Owner Services staff support.•Process accounts payable in compliance with HOA policies.•Process and track employee expenses.•Direct and announce calls, take messages, etc.•Manage mailing tasks, schedule package shipping.•Maintain an organized filing system for paper and electronic documents.•Make copies, scan documents, provide general office assistance.•Manage files and track current claims or notices.•Collect and distribute incoming mail.•Assist in planning/execution of meetings and events.•Serve as a customer service representative for the management company in correspondence to owners and routing inquiries to the appropriate department for resolution.•Assist new owners.•Maintain a safe work environment.•Other administrative duties as directed by Assistant or Facility Director.

Job Qualifications
Education:
•High School Diploma or equivelent.
Experience:
•Office administration experience desired.
•Proficiency in Outlook, Word, and Excel desired.
•Customer Service experience required.
License/Qualifications:
•Valid Oregon driver's license
•Eligible for company driving policy (driving record meets insurance standards)
Discretion / Independent Judgment
This position represents the company in handling complaints, arbitrating disputes or resolving grievances, as an Administrative Assistant you will be expected to work with the
Assistant Manager to provide timely and efficient solutions to the owners, tenants and Associates to ensure satisfaction.
